How to Export Client List Data from MYOB AO Tax Software

To export your client list from MYOB AO tax software, you have several options to Export:

(The most practical approach for most users will be Method 1 using the built-in client reports, as this provides the most straightforward way to export comprehensive client data including TFNs, names, and addresses in commonly used formats like Excel or CSV.)


Method 1: Using Client Reports

The most straightforward approach is to generate and export a client report:
Step 1: Create a Client List Report
  • Navigate to Reports > Client > Client List or Client Detail
  • Select a new report if you need specific fields include
  • Ensure the report includes the required fields such as:
    • Client Code and Name
    • Entity Type
    • Tax File Number (TFN)
    • ABN/ACN
    • Addresses (Home, Business, Postal)
    • Phone numbers
    • Email addresses
It is the user's advantage to extract/gather more information to avoid re-keying directly to LodgeiT.

Step 2: Export the Report

You can export reports to various formats:

  • Navigate to the generated report
  • Click Export and choose CSV

Step 1: Access Client Search

  • Click the Contacts icon to open the Find Clients pag
  • Use the Field Chooser functionality to add more data fields to your search windo
  • Right-click in the active grid area and select Field Choose

Step 2: Customize Data Fields

  • Drag and drop the fields you want to include, such as:
    • TFN/ABN fields
    • Address fields
    • Contact information
    • Client code

Step 3: Export Search Results

  • Once you have your client list displayed with the desired fields, you can:
    • Use the Mail Merge Wizard functionality to export data
    • Copy the data for use in external applications

Method 3: Using Mail Merge for Data Export

MYOB AO includes powerful mail merge functionality that can be used to export client data:
Step 1: Select Clients
  • From the Find Clients page, select the clients you want to expor
  • You can use filters to narrow down your selection
Step 2: Access Mail Merge Wizard
  • Click Mail merge wizard on the Tasks ba
  • This allows you to access client data including names, addresses, and TFNs for export purpose
Step 3: Export Options
  • The mail merge wizard provides access to client database field
  • You can export this data to Word documents or use it to create CSV-compatible formats


Important Considerations:


Tax File Number Handling
  • TFNs are stored in the client's main details and can be searched using the search functionality
  • When searching for TFNs, you can enter them with or without space
  • The system stores TFN data in the Create Client/Contact Wizard and displays it on the client's Main tab
Data Security
  • Ensure compliance with privacy regulations when exporting client data that includes TFNs
  • TFN information is sensitive and should be handled according to Australian taxation office requirements
